Empower users to view, manage their data and take bulk actions

Our goal is to consolidate and scale the Manage experience, delivering a unified platform for workflow oversight and control monitoring. This involves developing centralized dashboards and contextual management panels, integrated directly into the core platform. By bringing together two currently disparate premium products into a single, cohesive experience, we'll enhance efficiency and user adoption.

The current interfaces of both premium products exist outside the core Smartsheet platform, resulting in a range of complex business and design challenges:

While 1 premium product has its standalone dashboard but the other has 3 sub-products in it with 3 separate dashboards.

The dashboard structures are very different often making it difficult to adapt and navigate for the new users.

Users cannot reference or link active sheets during workflow creation, disrupting focus and efficiency.

The lack of uniformity between the products hampers usability and limits future scalability across the ecosystem.

A lack of decoupling in the system architecture resulted in a cascading failure, causing a system to shut down.

Difficult to sell similar products seperately

Users refused to buy these 2 products standalone as they didn't see the value proposition upfront on the sheet.

Challenge

Currently, Smartsheet's import/export workflows are managed through separate dashboards for each premium product. This forces users to navigate multiple interfaces to control data flow, creating an inefficient and fragmented experience. We're addressing this by consolidating these product-specific dashboards into a single, unified dashboard integrated directly into the core Smartsheet platform.


This centralized approach will streamline workflow management, allowing users to view, manage, and run all import/export processes from one location, enhancing overall efficiency and user experience.

We're transforming the product from a product-name first to a function-first experience. This involves seamlessly integrating standalone tools into the core Smartsheet platform and centralizing workflows into a single, dynamic dashboard, enabling users to manage and take action directly within their sheets.

Usability testing

Hi-fidelity prototypes were presented to over ~60 participants, using moderated and un-moderated testing including both new and existing customers.

What worked out?

✅ Contextual experience with sheet

✅ Loved how easy it was get an overview of the workflow health and take actions on it by both users and admins.

✅ Lead to more workflow creation and execution because of the new organised look.

✅ Improved discoverability; more user retention.
